What sort of tasks can be automated?

Do I need to change the systems I already use?

Will AI be used in my workflows?

It will not be used just for the sake of sounding clever. The aim is always to make the process more useful, more efficient and easier to manage.

Can I review things before anything is sent or actioned?

Yes. Where a workflow creates anything important, customer-facing or action-based, review steps can be built in so you can check and approve before anything is sent or actioned.

This is especially useful for AI-assisted wording, emails, documents, summaries or any steps where you want final control.

What happens if a workflow fails?

Can workflows be customised?

Yes. The standard packages are there to give a clear starting point, but workflows can often be tailored around what your business needs.

Additional stages, extra integrations, dashboards, approval steps or more advanced logic can be included in a tailored quote.

How long does setup usually take?

Timescales depend on the type of workflow, how many systems are involved and how quickly access or information is provided.

A clearer timescale can be given once the workflow has been discussed.

Do I need a monthly plan?

Not always, but it is recommended if the workflow is important to your day-to-day business.

Do I need my own Make.com account?

Smart Admin 4U uses Make.com to build and connect workflows, so you will need your own Make.com account as part of your setup.

You can create your account on the Make.com website (we will also send this link to you when you start working with us).

This is an affiliate link, which means Smart Admin 4U may receive a commission from Make.com at no additional cost to you.

This will always be made clear and your Make.com account will belong to you.

Do I need Airtable or Google Workspace?

It depends on the workflow.

Airtable, Google Drive, Google Sheets or Google Workspace may be used where they make sense, but the exact setup will depend on what you already use and what the workflow needs to do.

What happens if I already use different software?

That can be looked at before anything is planned.

If your software can connect to the workflow and works well for the process, it may be possible to build around it. If not, a more practical option can be suggested.

Will I own the workflows after setup?

Where workflows are built inside your own accounts, they sit within your setup.

This is one reason client-owned accounts are recommended for tools such as Make.com, Airtable and connected software.

Do I need to share passwords?

Access should be handled securely wherever possible.

Depending on the tool, access may be shared through user permissions, invite links or a password manager rather than sending login details in messages.
